Assistant to the Director at ASAP HUB
Role Overview:As the Assistant to the Director at ASAP HUB, you will play an instrumental role in streamlining the executive's operations, acting as a pivotal point of contact and ensuring the seamless management of daily tasks. Your primary responsibility will be to assist the CEO in navigating their professional commitments, ensuring they can focus on strategic decision-making and leadership.
Key Responsibilities:
- Scheduling & Calendar Management: Coordinate the Director's daily, weekly, and monthly schedule, ensuring efficient time management and avoiding scheduling conflicts.
- Email Management: Screen, categorize, and prioritize incoming emails, drafting and sending responses on behalf of the Director when appropriate.
- Meeting Coordination: Organize and set up meetings, including sending invites, booking venues, and arranging necessary materials. Take meeting minutes when required and ensure the Director is briefed on all agenda points.
- Document Preparation: Draft, edit, and format documents, reports, and presentations, ensuring they are prepared ahead of meetings or events.
- Liaison: Act as a primary point of contact between the Director and other ASAP HUB staff, stakeholders, or external partners. Communicate messages and directives clearly and promptly.
- Travel Arrangements: Organize the Director's travel itineraries, including flight bookings, accommodations, and local transport, ensuring all arrangements are in line with the Director's preferences and schedule.
- Task Management: Monitor and track the progress of tasks or projects the Director is overseeing, providing reminders and updates to keep everything on track.
- Research: Conduct preliminary research on various topics as directed to aid the Director's decision-making process.
- Confidentiality: Handle all information, documents, and communication with discretion, ensuring the privacy and security of sensitive information.
- Continuous Learning: Stay updated with the latest in executive assistance tools, platforms, and best practices to enhance efficiency in role performance.
Requirements:
- Bachelor's degree in Business Administration or a related field.
- Proven experience as an executive assistant or in a similar role.
- Exceptional organizational and multitasking skills.
- Strong communication skills, both written and verbal.
- Proficiency in using office software, including word processing, spreadsheets, and presentation tools.
- Ability to handle sensitive information with discretion and confidentiality.
